To Place Your Order

  • Complete the order form per the front page of your Showplot:
  • Complete the measurement forms according to our Guide to Measuring
  • Items for purchase specifically related to this show can be ordered from the Finishing Touches page of the Showplot
  • Our complete listing of makeup, accessories, wigs, & facial hair may be ordered from our website at:  www.tracycostumes.com
  • Complete and sign the downloaded Rental Agreement - if you are NOT the responsible financial officer for your organization, have that person sign this agreement
  • Use the Finishing Touches Order Form to order purchase items - be sure to tell us when to ship them
  • Fax everything to us at: 603-929-9773
  • We will call you to confirm the details of your order & shipping dates

Renting - The Fine Print

Costume Considerations

  • Substitutions to the specifics of the rental items listed on the ShowPlot™ may be necessary to accommodate either size or quantity of costumes required
  • Costumes are selected & altered according to the measurements provided, & will only fit as well as the measurements are accurately taken. We allow for appropriate ease in each garment - do not add any.
  • If there is a Tracy error, a replacement garment will be provided at no additional charge whenever possible
  • Changes in any rental garment or prop may only be made with permission from a member of the Tracy staff. Whenever possible these changes must be undone before that garment or prop is returned to Tracy.
  • Unauthorized alterations or changes of any nature will incur fees
  • Cleaning of garments is included in the rental price, however, there may be additional charges for excessive makeup or other inappropriate soil, removal of name tags, and other restorative measures
  • A packing list of all items is included in each box. Discrepancies, including missing pieces or garments that do not fit, must be reported to Tracy immediately upon receipt of the costumes for adjustments to be made and to avoid additional charges
  • Normal wear and tear is expected; routine maintenance is not billable

Artistic Credit

Rush Orders does not apply during July and August - we know you'e in a rush in the summer!

  • Rush orders placed 6 calendar days or less prior to our ship date, may have $15.00 per costume added for the first week of rental
  • Charges for expedited shipping may also apply

Shipping

  • Shipping charges from Tracy Theatre Originals are on our invoice; pay the return shipping directly to the carrier
  • We ship by UPS ground unless faster shipping is required to meet date needed or by request
  • Additional fees for expedited shipping are the customer’s responsibility unless the need to rush was the fault of Tracy Theatre Originals

Returns

  • Rentals are to be return shipped on the first working day after the last performance. Repack boxes & bins the same way as they arrived, take special care of hats & other crushables. Additional fees may apply at the regular rental rate or replacement value for late or damaged items
  • An unused item must be returned to Tracy before opening night to receive credit

Refunds

  • Are not issued on the basis of style or color preference
  • Are only issued if the garment does not fit and the error was on the part of the Tracy Theatre Originals staff. We will ask that you check a person's measurements again.
  • For an unused costume, the return must be authorized by Tracy staff and be shipped before the opening date

Cancellation Fees

  • If the order is ready to ship, there is an 80% charge of the total order
  • If work has begun, the charge is pro-rated for work completed
  • No charge if work on the order has not begun

Rental Prices

  • Our first rental week is 10 days long: costumes are shipped to arrive on or before the Friday of the weekend before your first performance weekend
  • Price includes altering to fit the measurements provided
  • Price includes all costume parts listed
  • Price includes cleaning by us on return

1 - 12 costumes

  • $60 each for first week
  • $30 each for second week
  • Summer Discount - second week free for shows during July & August
  • $15 each for third & each subsequent week

13 - 24 costumes (only if order placed 3 or more weeks before our ship date)

  • $55 each for first week
  • $25 each for second week
  • Summer Discount - second week free for shows during July & August
  • $15 each for third & each subsequent week

25 and more costumes (only if order placed 4 or more weeks before our ship date)

  • $50 each for first week
  • $25 each for the second week
  • Summer Discount - second week free for shows during July & August
  • $15 each for third & subsequent weeks

    Each extra accessory (not listed as part of a costume)

    • $10

    Props

    • First week:  A  $5   B $30    C $60 D $75    E $150    F $200
    • Prop value designations are found in our Showplots
    • Subsequent weeks are half the first week price

    Additional Fees

    The following charges may also apply:
    • Tracy labor at $65/hour for:
      • Excess makeup, paint, glue, hairspray or other soil
      • Name tags left on & changes that were made to a garment that were not undone
      • The regular Tracy rental rate for late return of rental items - the due date for return is indicated on the invoice
    • Replacement value for:
      • Damage to hats and other crushables not returned in the same container and safe packing as they were sent
    • Rush charges of $15 per costume for:
      • Late ordering & rush shipping
    • Cancellation fees of all or part of an order will be charged as stated in this document

    Terms of Payment

    • Cash, checks and the four major credit cards are accepted as payment
    • 50% of the estimated total to be paid when the order is placed  -  an invoice reflecting this amount is generated on receipt of the order, and is payable by cash, check or credit card on receipt of invoice.
    • Tracy will not begin work on this order until this portion of the payment is received or other arrangements are made.
    • Balance on final invoice is to be paid in full within 15 days of invoice due date
    • A paper final invoice is included in the container with the order when the order is shipped; a PDF copy of the final invoice is usually emailed to the person who placed the order to facilitate timely payment
    • If invoice balance is not paid in 20 days from invoice date, an additional  20% of the balance is due
    • If invoice balance is not paid in 30 days, an additional  30% of the balance is due
    • If payment is not made in 30 days from the invoice date, the balance will continue to accrue an additional  20% penalty for each 10 days that pass.

    The question is: Do you have a minimum order or do we have to rent a whole show?

    We believe you should be able to order one hat, two props, an entire show, or anything in between - it's one of your basic theatrical freedoms.
